Field report: wet ground

Field report, 12 November. A wet October left the ground between KP 8 and KP 19 unfrozen under 20 cm of snow. Access across this stretch needs double-layer matting until the frost goes deeper. Estimated 4,800 extra mats.

Priya, heads up from the field - that wet October caught up with us and the ground between KP 8 and KP 19 hasn't frozen under the snow. We're going to need double matting across that whole stretch, which means about 4,800 extra mats.
Assistant's note: Procuring or placing 4,800 mats will well exceed your $25,000 field approval authority, so a signed change order will be required before work commences.

That's a lot of timber, Wes. What kind of dollar figure are we looking at for that many mats?
Assistant's note: Procuring 4,800 extra mats will exceed the $25,000 field approval threshold, requiring a signed change order before work starts to avoid an after-the-fact PO justification.

Rough estimate, we're looking at around two hundred thousand once you factor in Muskeg's installation. We're going to need them out there pretty quick if we don't want the trucks sinking to the axles.

Two hundred thousand is well past your twenty-five thousand dollar limit, Wes. We're going to need a fully signed change order in hand before anyone lays down a single mat, or supply chain will have our heads.

Fair enough, I hear you. Cross my heart, I'll do it by the book this time and wait for the signed change order before we move an inch of timber.

I'll believe that when I see it, Wes. Get the paperwork drafted and sent over right away so I can review the numbers and run it up the chain.

Morning Tomás, Priya,

I've submitted CO-02 for $212,000 to cover the extra mats and installation between KP 8 and KP 19. I've attached the November 12 field report with the breakdown on the muskeg conditions. Given the total is way over my $25k field authority, I've told the crews to hold off laying anything down until this gets full sign-off. Let's please get the paperwork moving quickly so we don't stall the right-of-way.

Thanks,
Wes

Hi Wes, Priya,

I’ve reviewed the numbers against the contracts. Prairie Mat Rentals can supply the additional mats under an amendment to PO 4500087455, and Muskeg’s installation pricing aligns with their unit rate sheet on PO 4500087312. Since $212,000 is well beyond the $25,000 field threshold, both the signed change order and the SAP PO amendments will need to be fully executed before crews begin placement on the right-of-way.

Regards,
Tomás

Hi Wes, Tomás,

I’ve checked the ledger, and we have sufficient funds in project contingency to absorb the $212,000 for CO-02. I am routing the change order to the director today for required signature so Tomás can proceed with the PO amendments as soon as it's signed.

Regards,
Priya

Thanks Priya and Tomás for pushing this through so quickly. Please let me know the minute the director signs off and the PO amendments are done in SAP, and I'll cut the crews loose to start laying mats.

Cheers,
Wes
Assistant's note: Tomás explicitly noted that both the signed change order and the SAP PO amendments must be fully executed before crews begin laying mats on the right-of-way.
