Every message in the story passed through the speaker's assistant. Most of the time it had nothing to add. These are the times it did, and what the people did next.
Notes that changed what someone did
- Tomás takes back a remark about the bids
In a Teams huddle about a report, Tomás tells Priya that the mainline bids came in comfortably under the engineering estimate. His assistant's note afterwards says that bid figures are confidential to supply chain until award, and that the remark is not even accurate: only the lowest bid came in under the estimate. A minute later Tomás asks Priya to forget it and keep it to herself until the award.
- Priya takes back a date she should not have given
Four days later Wes asks Priya about the bids. She refuses the numbers on her own, but mentions the award date. Her assistant notes that she knows the date only from the huddle with Tomás, which Wes was not part of. On her next turn she asks Wes to forget the date.
- Jordan corrects a mistaken change order
In October, Priya tells Jordan that change order CO-01 covers only the mainline contractor's early access, and Tomás accepts that. It is wrong. When Jordan drafts his email to Tomás about Ernie's invoice, his assistant checks the draft against the CO-01 record, which says CO-01 includes about $2,400 for site access for the survey. Jordan's email says so, and Ernie's purchase order is charged to CO-01.
Memory that answered a question
- Jordan stops a $19.2 million double payment
Five days before the February payment run, both the original invoice 4471 and its replacement 4471-R are approved and queued. When Linh asks about them, Jordan's memory holds the 3 February approval of 4471, made before the standby problem was found, and the reason 4471-R replaced it. He asks Linh to block 4471.
- Wes gives the auditor the exact terms of a phone call
Eight months after he hired Ernie's boat by phone, Wes's memory still holds the call: 22 September, $750 a day plus fuel, about $1,800 in all. No project record has those terms. Only Wes's own memory of the call does, and he chooses to share it with the auditor.
A note that was ignored
- "We'll look after you"
When work restarts after five days below -40 °C, Wes tells Darcy over the phone that Chinook will look after Muskeg for the downtime. His assistant's notes after the call say that five days of standby is far above his $25,000 field limit and needs a signed change order before Chinook commits to paying it. Wes does not put anything in writing. Muskeg bills all five days, Jordan catches it against the contract, and it takes a change order and a second, harder phone call to settle three days.

Flags that recorded a decision
Several times the assistant flagged that a recipient was not part of a conversation, and the sender shared it anyway, because the recipient needed it: Wes explaining the cold-snap call to Jordan and Tomás, and Jordan and Wes answering the auditor. The flag does not stop anyone. It makes sure that sharing something from a private conversation is a decision rather than an accident, and the decision stays in memory with the message.

Who could answer the auditor, and when
In May 2026 internal audit asked two questions. Here they are put to each person's assistant as of five dates, with the key that person had on each date. The project records alone never say who approved the boat: they say "the project administrator". The name comes from the conversations, which only their participants remember. Select a cell to read the answer and what it rests on.
